Centre Regulations
This document sets out the regulations that users (and their respective personnel and visitors) (“you”) must adhere to whilst at any of the centres (“Centres”) which are owned and operated by Rural Offices LLP, Brookfield Parks Limited or any affiliate of either of those entities (the “Supplier”), including Carrwood Park and Brookfield Court.
These regulations apply in addition to the obligations set out in the contract (“Contract”) between the Supplier and itscustomer (“Customer”) for the provision of a dedicated area and/or storage unit, or access to a room / desk at certain times(the “Work Space”). Terms defined in the Contract also apply in these Regulations unless specified otherwise.
The Supplier reserves the right to amend these regulations from time to time.
Any references in these regulations to “in writing” or “written” shall include email.
Any words following the terms “including”, “include”, “in particular”, “for example” or any similar expression shall be construed as illustrative and shall not limit the sense of the words, description, definition, phrase or term preceding those terms.1. Work Space
- 1.1 You shall:
- 1.1.1 use the Work Space only as an office for the purposes of the Customer’s business and not as offices open to members of the general public, nor as lodgings;
- 1.1.2 not use the Work Space for any noisy, offensive, immoral or illegal trade or business or in a mannerwhich causes any nuisance, damage or annoyance to the Supplier or the other users or visitors of the Centres;
- 1.1.3 not conduct any activity or introduce any object that could cause disturbance to other users or visitors of the Centres;
- 1.1.4 not introduce any pests, smelly, dirty or otherwise objectionable materials into the Centres;
- 1.1.5 only put items in bins which you agree to being disposed of;
- 1.1.6 ensure that all personnel and visitors wear appropriate footwear when in the Centre and the car parking areas (including in icy conditions);
- 1.1.7 not use hairdryers, straighteners or other similar personal devices in the Work Space and only in appropriate places (such as bathrooms);
- 1.1.8 clean all whiteboards and not leave any confidential information (including that recorded on flipcharts, notepads or other media) in the Work Space when it is unattended;
- 1.1.9 not allow animals, other than guide dogs, into the Centres;
- 1.1.10 not introduce any additional heating or air-conditioning apparatus into the Work Space nor interfere with the Supplier’s heating or air-conditioning systems in the Work Space except by use of the thermostat controls, if any, provided for your use;
- 1.1.11 not remove or damage any of the furniture, contents or fittings provided by the Supplier nor introduce any additional furniture or fittings except as permitted under the Contract;
- 1.1.12 subject to fair wear and tear, keep the Work Space and its furniture and fittings in the same state ofrepair and condition as set out in the Inventory and the Condition Report (as defined in the Contract);
- 1.1.13 replace or, at the Supplier’s option, pay the costs of replacing any furniture or fittings provided by the Supplier which are damaged by you or which become incapable of use due to your misuse of them;
- 1.1.14 not use the Work Space for the preparation of food but shall use only any kitchen facilities provided for that purpose;
- 1.1.15 not use or store in the Work Space any article or substance of a flammable or dangerous nature;
- 1.1.16 comply with health and safety legislation affecting employees in or visitors to the Work Space or Centres (including our other customers);
- 1.1.17 not make any alterations to the Work Space or any furniture or fittings in the Work Space nor pierce or damage the walls, ceilings or floors of the Work Space unless authorised by the Supplier in writing;
- 1.1.18 not display any advertising, signs or notices in the Work Space or the entrances to it or on the remainder of the Centre, except in places indicated by and in styles approved by the Supplier. The Supplier may remove any unapproved advertising, signs or notices affixed to the windows, doors or walls without notice;
- 1.1.19 not darken or obstruct any windows in the Work Space or display any signs or notices in those windows;
- 1.1.20 not store equipment, boxes or other items up against the glass panels of the Work Space which faceinto the atrium without the Supplier’s express written If you wish to store items against the windows, please inform the Supplier so that it can arrange for a quote for additional glass manifestations to be installed (so as not to affect the overall aesthetics of the building). You shall be responsible for the costs of such additional glass manifestations if they are implemented;
- 1.1.21 close all open windows, lock all doors and turn off all electrical equipment when there are no members of your personnel in your Work Space for any extended period of time;
- 1.1.22 not install any additional locks or bolts to any windows and doors;
- 1.1.23 not bring any security safe or other heavy object into the Work Space;
- 1.1.24 not prevent the Supplier having access to the Work Space at all reasonable times and for all reasonable purposes including inspecting the Work Space, providing its services and carrying out any works of repair or redecoration required;
- 1.1.25 not provide any materials or carry out any work intended in modification of the Work Space other than as approved by the Supplier in writing, any such materials to be provided by and any such work to be carried out by one or more of the approved list of suppliers and tradesmen available upon request from the Supplier. The Supplier’s approved list of suppliers and tradesmen may be updated from time to time, so the Customer should request an up to date copy of the list each time it wishes to procure any works;
- 1.1.26 not enter or use any room or desk other than the Work Space without the permission of the Supplier, and not enter or use anyareas or desks which are used by other customers, without the specific permission from the customer of that area or desk or accompanied by an individual employed by that customer;
- 1.1.27 keep the Work Space in a clean and tidy state at all times and free from Customer’s clutter;
- 1.1.28 observe a clean desk policy, permitting desks to be cleaned on a regular basis and clearing away non-essential files and papers after work every evening;
- 1.1.29 turn off non-essential electrical equipment at the close of business;
- 1.1.30 not keep stock or samples in the Work Space without the Supplier’s prior knowledge and written approval;
- 1.1.31 maintain all requisite insurances to protect the Customer’s interests (as required under the Contract). The Supplier’s insurances are restricted to its own property and liability for its own employees only;
- 1.1.32 not enter into any contract for the provision of a service to the Customer which is linked to the Centre or to the Work Space, for example for the collection of confidential waste from the Centre or Work Space;
- 1.1.33 not provide furnishings in the Work Space without the prior knowledge and written approval of the Supplier;
- 1.1.34 not allow babies or children in the Work Space or the Public Areas; and
- 1.1.35 take all reasonable and proper responsibility and safeguarding precautions for all possessions stored or brought on site in the Work Space or wider Centre.
2. Telephone and IT
- 2.1 You shall:
- 2.1.1 not interfere with the telephone equipment provided by the Supplier in the Work Space or otherwise in the Centre, norintroduce any additional fixed telephone or telecommunications equipment into the Work Space;
- 2.1.2 not install or use any electrical apparatus in the Work Space other than normal office equipment, such as calculators, dictation machines, PC-based computer systems and the like, nor overload the electrical systems in the Work Space;
- 2.1.3 not use the internet provided by the Supplier for any streaming or other activities which can cause a high bandwidth usage in excess of that reasonably required for usual business purposes
- 2.1.4 not use the internet provided by the Supplier to access any web page or download any image, document or other file fromthe internet which could be regarded as illegal, offensive, discriminatory, in bad taste or immoral
- 2.1.5 not use the internet provided by the Supplier to download any virus, malware or other malicious software;
- 2.1.6 not use the facilities including any systems provided in the Work Space for the supply of any customer data or hosting services; and
- 2.1.7 sign out any equipment you borrow from the Supplier to assist with setting up projectors or connecting laptops, and ensure such equipment is returned to the Centre’s reception promptly when finished with, in good condition. If returned equipment is found to be not fit for use, the Supplier may charge the Customer the cost of a replacement.
3. Meeting Rooms
- 3.1 If you wish to book a meeting room, your booking will be subject to the meeting room booking policy, which can be found online at workwelloffices.com.
4. Health & Safety
- You shall (and shall procure that your personnel and visitors shall):
- 4.1.1. promptly report any health and safety issues (including damaged equipment, fixtures or furnishings) and any health and safety breaches, to the Supplier;
- 4.1.2 observe all fire risk requirements and plans provided by the Supplier or displayed at the Centre; and
- 4.1.3 take precautions to minimise any fire risks, including using any electrical equipment only in appropriate areas of the Centre and not leaving such equipment unattended.
- 4.2 You shall take responsibility for the safety of your personnel in ensuring that you provide adequate safety and security training, including designating such first aiders as you deem appropriate. The Supplier’s front of housepersonnel may be certified first aiders, however such personnel will not be available during all Centre opening hours, and you should consider putting measures in place yourself.
5. Kitchen
- You shall:
- 5.1.1 store food in the kitchen area only;
- 5.1.2 ensure that food stored in the refrigerator is used or disposed of reasonably promptly. The Supplier’scleaning staff shall be entitled to dispose of any food stored by the Customer that is beyond itsrecommended use by date or which, at their reasonable discretion, needs to be removed or disposed of;
- 5.1.3 clean and replace any used cutlery or kitchen utensils in the appropriate place or shall otherwise place these in the dishwasher;
- 5.1.4 not overload the dish washer;
- 5.1.5 not bring smelly food into the Centre; and
- 5.1.6 wipe kitchen surfaces clean after
6. Public Areas
- You shall:
- 6.1.1 not obstruct the Public Areas or park, place or store any vehicles, equipment or goods in the Public Areas;
- 6.1.2 use and leave the Public Area in an acceptable state for use by others;
- 6.1.3 not hold meetings of more than 3 people in Public Areas;
- 6.1.4 not attend conference calls in Public Areas (meeting rooms should be booked in advance to accommodate such calls);
- 6.1.5 only use Public Areas for a length of time suitable to the task;
- 6.1.6 note that any items placed in Public Areas are left at your risk and are not the responsibility of the Supplier;
- 6.1.7 not go in to the communications room unless accompanied by a member of the staff duly authorised in writing by the Supplier.Speak to the Centre’s reception to request authorisation for any of your staff;
- 6.1.8 not use any equipment provided by the Supplier other than in accordance with the operator’s manuals or other than in the way they are meant to be used;
- 6.1.9 report any fault or damage detected with any space and/or equipment to the Centre’s reception immediately;
- 6.1.10 not litter or leave your property in the Public Areas;
- 6.1.11 not move furniture within or out of the Public Areas;
- 6.1.12 park vehicles only in the designated parking areas. Any consistent failure to do so shall amount to a material breach of the Contract;
- 6.1.13 park vehicles at your own risk. The Supplier takes no responsibility for theft or damage to vehicles parked in the public areas;
- 6.1.14 observe a speed limit of 5 mph when driving within Centre boundaries. You shall observe common respect and courtesy towards any pedestrians walking within the Centre boundaries; and
- 6.1.15 observe any quiet working policies in any areas designated for quiet working, as notified by the Supplier.
7. Behaviour
- You shall:
- 7.1.1 not use abusive speech or act in an abusive, violent, threatening, intimidating or unpleasant way towards other users of the Centre or its staff or contractors, and ensure that your personnel and visitors also do not use such speech or act in such a way;
- 7.1.2 raise any complaints or concerns about the Centre with the Supplier in a courteous and discretemanner through the applicable channels, and not publicly malign the Centre in front of other users of the Centre. You shall not abuse the Centre’s channels for raising queries, for example by raising vexatious or excessive requests;
- 7.1.3 not do or omit to do anything that would cause increase in the insurance premiums for the Centre orprejudice the right of any person to receive payments under the insurance policies for the Centre;
- 7.1.4 not make any copies of keys or entry cards provided by the Supplier;
- 7.1.5 notify the Supplier if any keys or entry cards are lost or stolen;
- 7.1.6 not do or omit to do anything that would allow unauthorised persons to have access to the Work Space or the Centre;
- 7.1.7 require that visitors register at the Centre’s reception on entering the Centre;
- 7.1.8 ensure all staff and visitors are dressed in clothes suitable for a professional business environment. In particular, staff and visitors should not wear casual, gym or beach wear, including track suits, sweat-shirts, t-shirts or shorts, combat trousers, jogging bottoms or leggings. Clothing should not be dirty, frayed or torn. Tops should not carry wording or pictures that might beoffensive or cause damage to our reputation. It is inappropriate to wear cut-off shorts, crop tops, see-through material or clothing that exposes areas of the body normally covered in business environments. Trainers and flip flops are not acceptable. Appropriate religious and cultural dress (including clerical collars, head scarves, skullcaps and turbans) are permitted;
- 7.1.9 as between you and the Supplier, be solely responsible for the actions and the health and safety of your visitors;
- 7.1.10 ensure that your personnel and visitors conduct themselves within an acceptable noise level appropriate for a business environment, particularly when in Public Areas; and
- 7.1.11 ensure that none of your personnel nor visitors smoke anywhere inside the Centre, and only within the designated smoking shelters outside of the main buildings.
8. 24 Hour Access
- You shall:
- 8.1 The Supplier reserves the right exceptionally to close the Centre or any building at 5pm on any working day and for any period of time over a weekend in order to conduct out of hour works and maintenance (including repairs anddecoration). You shall be afforded a minimum of 5 working days’ notice via a central e-mail of any such action, save in the case of emergencies where serving of such notice may not be
- 8.2 From time to time, the Supplier may hold networking events in the Public Areas. These events will be open to allCustomers of the Subject to numbers, each Customer may invite guests to attend any such function provided that notice of this is given to the Centre’s reception a minimum 48 hours before the event is held.
- 8.3 The Supplier will staff the centres from 8am until 5pm Monday to Friday, should you require access before or after this time you are required to use your access card.
